What we process
To write your letter we process the details you enter: the issuing company or authority, the vehicle registration, the location, the dates, the reference number, your name if you choose to give it, and anything you type into the free text box describing what happened. Our lawful basis is performance of a contract. You asked us to produce a document and we cannot do that without these details.
How long we keep it
We do not keep it. The details exist in your browser while you use the tool and are sent to our server only for the moment it takes to generate the letter. Closing the tab discards everything. There is nothing for us to look up, export or delete afterwards.
Who we share it with
If you write a description of what happened, that text and the basic facts of your case are sent to OpenAI to convert it into formal wording. This is an international transfer to the United States, carried out under a data processing agreement and appropriate safeguards. If you leave the description blank, no third party receives anything at all. If you ask us to email the letter to you, your address is passed to our email provider to send that one message and is not retained afterwards. Our hosting provider processes standard server logs, including IP addresses, for security and to prevent abuse. We do not sell data to anyone, and we do not run advertising.
Cookies
We do not set advertising or tracking cookies. Any analytics we use are cookieless and do not identify you.
Your rights
You have the right to access, correct, erase and restrict the processing of your personal data, and to object to processing. In practice, because we store nothing, these rights have little to operate on. If you believe we have handled your data poorly you can complain to the Information Commissioner's Office at ico.org.uk.
